Client
Delaware River Port Authority - Camden, NJ
|
|
Problem
The Delaware River Port Authority (DRPA) of PA and NJ, a self-financing
bi-state authority that manages, plans and constructs transportation facilities
and provides transportation services in the greater Philadelphia/South
Jersey area had no overall records management policies or procedures.
The DRPA had recently moved into new offices, which had limited space
for filing of active paper records. Inactive records were stored in various
DRPA buildings. There were no comprehensive inventories of these records,
many of which were at risk due to poor storage conditions.

The Naremco Solution
- Developed retention schedules for each department.
- Made recommendations to serve as a blueprint to carry forward
the implementation of the records management program.
- Established a uniform file classification system to help staff
find information of a similar nature kept in various departments,
to serve as a basis for a company-wide knowledge management system,
and as a template for the organization of data stored on electronic
media.
- Created a locations list of records and materials to be reviewed
for archival and historic preservation.
- Compiled a manual of policies, guidelines and procedures defining
the operation of the Records Management Program.
- Developed a curriculum and training materials to teach DRPA
personnel good information management principles and practices.
- Trained staff responsible for the Records Management Program.

|
Client Benefits
- Staff trained to carry out the Records Management Program on
an ongoing basis.
- DRPA staff purged unneeded records from office areas, freeing space
for newer records.
- Inactive records stored at a commercial records storage center
under conditions that assure their safety and confidentiality;
records can be retrieved within a few hours.
- Vital records identified so they can be specially protected.
- Historic records identified, with an archival program in development
to acquire, protect and display them.
- Record designations have made it possible to eliminate duplicate
sets of records and clarify responsibilities for maintenance.
